Fuel Log Management

Every Fill-Up. Every Vehicle. Every Receipt. Logged.

Most fleets still track fuel with receipts in a folder and a spreadsheet updated weekly. HVI's Fuel Logger replaces that with per-vehicle digital entries — vehicle, meter reading, filling source, fuel type, quantity, cost, and receipt photo — all searchable in one live dashboard with six stat cards and a full log table.

Fuel Log Management FAQ

Common questions about HVI's Fuel Logger module.

Click New Fuel Entry. Select vehicle from inventory, enter meter reading, choose filling source (Tank, Truck, or Outstation), pick fuel type, enter quantity and cost, add receiver name and notes with voice input, then upload receipt and fuel bowser photos. Click Add.

Tank fills come from on-site fuel bunkers and link to bunker inventory. Truck fills come from mobile fuel bowser vehicles. Outstation fills are external purchases at gas stations or third-party sites. Each source filters separately in the log table.

Total Fuel Logs (count of all entries), Total Quantity (all fuel consumed), Total Cost (all fuel spend), Active Tanks (bunkers with fuel activity), Today Fuel Quantity (today's consumption), and Average Fuel Cost (average cost per entry).

Action, Vehicle, Meter Reading, Filling Date, Filling Source, Fuel QTY, Fuel Cost, and Receipt. Click any entry to view full details including notes, receiver name, issued by, and uploaded photos.

Yes. Every fuel entry has two upload fields — Receipt and Fuel Bowser. Upload photos from phone camera or gallery. Both photos are attached to the log entry and accessible from the fuel log table's Receipt column.

Yes. Every fuel entry requires selecting a vehicle from your inventory. The vehicle name auto-populates. Each entry is linked to the vehicle record, building a complete fuel cost history per machine for total cost of ownership tracking.

Kilometers, Miles, and Hours. Choose the unit that matches each vehicle — KM for road vehicles, Miles for trucks, Hours for excavators, loaders, and stationary equipment.

HVI supports configurable fuel types via dropdown — Diesel is the default. Add any fuel type your fleet uses. The Fuel Type Distribution chart on the dashboard breaks down consumption by each configured fuel type.
