Operators Request Maintenance — Managers Approve or Reject

Operators submit maintenance requests with priority (Low, Medium, High, Emergency), vehicle, memo, and assigned technician count. Managers review and approve or reject. Labor Codes define hourly rates per skill level — Emergency, Skilled, Highly Skilled — which feed directly into work order cost calculations.

Request status — Requested, Rejected with priority and assignee
Labor codes with hourly rates — feeds into WO cost automatically
Task Master — reusable service tasks with category, vehicle, and DTC codes

Maintenance Management FAQ

Common questions about HVI's maintenance management system.

Each work order has 6 tabs: WO Details (title, memo, priority, vehicle, planning data with estimated cost and labor time), Task Details (from Task List, Fault List, or new), Parts & Material (item number, name, quantity, cost with barcode scan), Labor (worker, labor code, rate, time, cost), Remarks & Attachments, and Cost (parts + labor + additional + tax = Total WO Cost).

Create PM schedules with Repeat or One Time type. Set intervals by miles (meter-based) or days/weeks/months/years (time-based) — whichever comes first. Attach tasks and parts. Enable "Automatically Generate Workorder" to create WOs when PM is due. Set advance notifications by miles or days before the service is due.

Labor Codes define hourly rates by skill level. Each code has a code ID (LH-01, LH-02, etc.), hourly rate, and description (Skilled, Highly Skilled, Emergency). When adding labor to a work order, select the labor code — the rate and cost calculate automatically based on time entered.

Request Maintenance lets operators submit maintenance requests with priority, vehicle, memo, and description. Managers review and approve or reject. Approved requests can be converted to full work orders. Direct Work Orders skip the approval step — they're created by managers or technicians directly.

The Maintenance KPI dashboard has 8 tabs: Team (WO status, count, cost, overdue, and vehicles per technician), Overview, Analytics, Status & Priority, Workorder Type, Vehicle & Schedule, Yearly Detail, and Pay Sheet. Filter by Today, Last 7/30/90 Days, or Custom Date range.

Task Master is a reusable library of service tasks. Each task has a Category (Service every 50Hr, Service-Every 500Hr, etc.), Task Name (Coolent, Fuel filter, Engine oil), Vehicle Number, and optional DTC Code. Tasks can be added to work orders or PM schedules directly from the library.

Total WO Cost = Parts & Material Cost + Total Labor Cost + Additional Cost + Tax. Parts cost comes from inventory items consumed. Labor cost is calculated from labor codes (hourly rate x time). Additional costs cover external services. All costs are linked to the specific vehicle.

Yes. Failed inspection items can be linked to work orders via the "Link Inspection" and "Fault List" features. When an operator reports a defect during inspection, a work order can be created with the fault details, photos, and vehicle data already attached.
